About the role
This trusted, hands‑on position supports the Founder of Taib Group by managing executive and personal matters. Reporting to the Chief of Staff, the role combines calendar and travel coordination, meeting preparation, and oversight of a wide range of ad‑hoc tasks.
Key responsibilities
- Own and manage the Founder’s complex, fast‑changing calendar and daily schedule, balancing priorities, locations, travel time and real‑time changes.
- Coordinate meetings end‑to‑end, ensuring the right participants, context, agenda and materials are prepared.
- Arrange business and personal travel, including flights, accommodation, transportation, itineraries and documentation.
- Support selected personal and family‑related matters as needed.
- Coordinate visits, delegations, events and other ongoing or ad‑hoc matters, acting as the liaison between internal teams, professionals and service providers.
- Maintain oversight of open items, proactively follow up, anticipate issues and ensure nothing falls through the cracks.
- Take ownership of assigned matters from start to finish, knowing when to act independently and when to escalate.
- Provide clear, timely updates to the Chief of Staff and Founder on progress, changes and decisions required.
- Handle sensitive business and personal information with discretion and confidentiality.
Required profile
- 3–6 years of experience as an Executive Assistant, Personal Assistant or a comparable high‑responsibility support role.
- Experience supporting a business owner, senior executive or private/family office is a strong advantage.
- Excellent organizational, time‑management and prioritisation abilities.
- Proactive, solution‑oriented mindset with the ability to anticipate needs.
- Comfortable moving between routine administrative tasks and complex, high‑responsibility matters.
- Ability to remain calm and effective when plans change at short notice.
- Strong interpersonal and communication skills, confident when working with senior stakeholders and external providers.
